Standard Operating Procedures and Administration Systems

Written procedures for administration, procurement, HR and operations, so work is done the same way whoever is on duty, and audits find fewer surprises.

When procedures live in people's heads, work slows down whenever someone is on leave or resigns. New staff learn by watching whoever is nearest, approvals depend on who happens to be asked, and auditors find a different method in every department.

Written procedures fix that, provided they describe how the work should be done in your organisation and people can follow them.

What We Document

  • Administration: records, correspondence, assets, vehicles and facilities
  • Procurement, from request to payment, with approval limits
  • HR processes from recruitment to leaving
  • Finance and payroll routines
  • Operating procedures for individual departments and sites
  • Delegations of authority, setting out who can approve what

How We Write Them

We map how the work is done now by sitting with the people who do it. We agree improvements with them and their managers, then write each procedure with a flowchart, the forms it uses and named responsibilities. Drafts are tested by staff who were not involved in writing them, which is the quickest way to find steps that only made sense to the author.

Procedures and ISO Certification

ISO management system standards, including ISO 9001 and ISO 45001, ask organisations to control their processes and keep documented information. Where you are working towards certification, we write procedures to fit those requirements, so the same documents serve your staff and the certification audit. See ISO management systems consultancy.

Keeping Them Current

Procedures go out of date as soon as the organisation changes. Each procedure we write has an owner and a review date, and we set up a simple register so you can see which documents are due for review.

Common Questions

How many procedures does a typical organisation need?

It varies widely. A small company may need fifteen or twenty core procedures; a large state-owned enterprise may need more than a hundred across its departments. We agree priorities with you first.

Can you work from procedures we already have?

Yes. Existing procedures are often a good starting point. We review them against current practice and rewrite or merge them where needed.
